SAN ANTONIO COLLEGE BOOKSTORE COMMISSION MINUTES June 11, 2009 VOTING: Martha Diaz, Joanne Franco (replacing Lisa Romo), John Heneise, Yesenia Leon, Maryann Tolano-Leveque, Chisato Uyeki, Christian Vargas, Brandie White and Shelley Zahrt-Egbert (for Linda Baldwin) NON-VOTING: Jay Devers and Suzanne Luetjen ABSENT: Mike Gregoryk and one student representative The meeting was called to order by Brandie White, Chairperson, at 12:30 p.m. INTRODUCTIONS Each person present introduced himself/herself. AGENDA – ADDITIONS/DELETIONS There were no additions/deletions made to the agenda. It was moved by John Heneise, seconded by Martha Diaz, to approve the agenda as presented. Motion carried. MINUTES It was moved by Yesenia Leon, seconded by Maryann Tolano-Leveque, to approve the minutes of March 24, 2009. Motion carried. BUSINESS A. April, 2009 – Financial Report – Suzanne Luetjen reported that sales in April were stronger than budget predictions and were up approximately $15,000. Overall, the net loss was less than budgeted. It was moved by Yesenia Leon, seconded by Christian Vargas, to approve the April, 2009, financial report. Motion carried. B. Approve Bookstore Commission Meeting Schedule for 2009-10 – It was moved by Martha Diaz, seconded by Christian Vargas, to approve the Bookstore Commission Meeting Schedule for 2009-10 as presented. Motion carried. INFORMATION/ANNOUNCEMENTS A. Update on Graduation Sales – Suzanne Luetjen reported that they have sold 465 caps/gowns up to now. They are a little down in numbers compared to last year, which is usually 500-525. No one present knew the number of how many eligible graduates there are this year. They will be selling graduation apparel and merchandise up to and at the graduation ceremony. B. Open Early During Finals Week – Suzanne Luetjen reported that the Bookstore has been open early this week (June 8-11, 2009) at 7:15 a.m. to help students be able to purchase Scantrons and Green Books for finals. C. Extended Hours for Summer Session – Suzanne Luetjen reported that the Bookstore will be extending closing hours the first two days of Summer Session (June 22-23, 2009) from 6:00 p.m. to 8:30 p.m., to give students more time to buy their books and supplies. They will probably soft-close on Wednesday and Thursday nights that week at 6:30 p.m. D. Inventory – Suzanne Luetjen reported that the Bookstore will close for inventory on June 29, 2009, at noon and on June 30, 2009, all day. REPORTS A. Mt. 91жБВЅ Relays – Suzanne Luetjen reported that sales were down this year. Sales are always down after an Olympic year, but were down more than usual. The economy this year was probably also a factor. Also, they had a sponsor, who sold T-shirts with the Mt. 91жБВЅ Relays logo, and they should not have been selling them. This affected our sales, as we have an exclusive agreement to be the only one to sell merchandise with the Mt. 91жБВЅ Relays logo. We will see what happens next year. Overall, it was a good event for us. Yesenia Leon stated she had heard the attendance was low because there was a Northern/Southern Section event going on and people went there instead of coming to Mt. 91жБВЅ for the Relays. B. Installing New Bookstore System (MBS) – Suzanne Luetjen reported they are implementing a new bookstore system by MBS, to allow them to do more things and have more productivity. They plan to go “live” next Thursday, June 18, 2009. This system can also interface with Banner. We will also be able to put our merchandise online to sell. OPEN FORUM Suzanne Luetjen wanted to mention that she read a recent article in the Mountaineer newspaper about the Associated Students activity sticker. They felt slighted because it did not say anything about the Bookstore giving a 10% discount to students buying textbooks on the Saturday before the semester starts. It will need to be discussed how this can be done next year, since stickers will not be used any more.
